Share

The Share feature allows users to grant access to files or folders to other users within the application. It simplifies collaboration by enabling multiple users to view or work on shared content. Designed to be intuitive and consistent, the Share feature ensures secure and seamless content sharing across the application.

Share: This video explains how to share a file or folder in the application.

Steps to Share a File or Folder in the Application:

  1. Users can share files or folders in the AIV application by either right-clicking on the selected file or folder or by clicking the Share button in the bottom toolbar, as shown below:

  2. Initiate the sharing process by selecting Share using one of the previously described methods. This action opens the Share dialog box, as shown below:

  3. The user can select other users with whom the files or folders will be shared. Then, select Users or Roles from the available list (or search using the Search User or Search Role option). Ensure that the selected users appear in the Selected box.

  4. Visibility for the share file determines who has permission to view it and is categorized into three types, which users can select from the dropdown menu, as shown above:

    • Private: Only the current user or the actual owner has permission to view the file.

    • Internal: All users within the organization have permission to view the file.

    • Public: Anyone, regardless of organizational affiliation, can view the file.

  5. In case of any further help, the user can click on the Help Icon icon to access the AIV help documents.

  6. If the user is not satisfied and wants to cancel the share request, he can do this by clicking on the CANCEL button next to SHARE or by clicking on Cancel Icon icon next to the Help Icon icon.

  7. Finally, click the SHARE button. A confirmation message will appear, as shown below:

Folder Sharing

In folder sharing, you will have two options:

  1. Apply to all files and subfolders: This option ensures that all privileges assigned to the folder will automatically apply to the files and subfolders within it.

  2. Overwrite existing privileges: This option allows you to replace previously assigned privileges with the new ones during the sharing process.

In this way, you can share the selected file or folder in the AIV application.
